GoHighLevel CRM & automation

GoHighLevel CRM Setup and Workflow Automation

Configure GoHighLevel around the way your business sells: clean contact records, pipelines that reflect real stages, calendars that book themselves and workflows that follow up consistently — without the tangle of overlapping automations.

Overview

A CRM that does the follow-up for you

GoHighLevel combines a CRM, pipelines, calendars, email and SMS, forms, funnels and workflow automation in one platform. That breadth is its strength — and the reason many accounts become hard to manage. Workflows are added one at a time, tags pile up, custom fields duplicate each other and nobody is sure which automation sent which message.

We set up or restructure GoHighLevel so that each part has a clear job: custom fields store the data you actually use, pipeline stages match your sales process, and workflows are named, documented and designed not to fight each other.

For agencies, we also help standardize sub-account setups so that new client accounts start from a consistent, tested configuration.

Signs you need this service

  • New leads wait hours or days for a first response.
  • Contacts are duplicated or missing key information.
  • Several workflows fire on the same trigger and send conflicting messages.
  • Opportunities are not moved through the pipeline, so reports are unreliable.
  • You pay for GoHighLevel but still track leads in a spreadsheet.

Problems we solve

Common GoHighLevel problems we fix

Workflows that do not trigger

Trigger filters that no longer match, contacts that cannot re-enter, draft workflows that were never published, or events coming from a source the trigger does not listen to.

Duplicate contacts and messages

Forms, imports and integrations creating new contacts instead of updating existing ones, and overlapping workflows sending the same message twice.

Disconnected tools

Leads from other form builders, ad platforms, booking tools or e-commerce stores that never reach the CRM, or arrive without the fields you need.

Slow speed-to-lead

No immediate acknowledgment, no internal alert and no task for the assigned team member when a new inquiry arrives.

Pipelines nobody trusts

Stages that do not match the real sales process and opportunities that are never updated, making forecasting guesswork.

Unmaintainable accounts

Dozens of unnamed workflows, unused tags and custom fields with unclear purposes that make every change risky.

What we build

What we can build in GoHighLevel

CRM structure

Custom fields, custom values, tags, smart lists and contact ownership rules designed around your data.

Pipelines & opportunities

Pipeline stages, automatic stage changes and opportunity values that support real reporting.

Lead-to-appointment workflows

Form, call and chat leads acknowledged instantly, assigned, notified and guided to book a call.

Calendars & reminders

Round-robin or individual calendars, confirmations, reminders and no-show follow-up.

Nurture & reactivation

Email and SMS sequences with stop conditions so contacts leave the sequence when they reply or book.

Integrations

Webhooks, inbound webhooks and API connections to forms, stores, accounting tools and Google Sheets.

Sample workflow

Sample workflow: from web form to booked call

This example shows the structure of a lead-handling workflow for a service business. The goal is a fast, consistent first response and a clear owner for every new lead.

In a real account the details — which fields, which messages, how long to wait — come from your sales process and the consent your contacts have given.

This is a hypothetical example built to explain the approach. It is not a description of a specific client project.

How this workflow is specified

Trigger
Form Submitted for a specific form (additional workflows can listen for calls, chats or inbound webhooks).
Applications
GoHighLevel CRM, forms, calendars, email and SMS; optionally Google Sheets or Slack for reporting and alerts.
Data inputs
Name, email, phone, service requested, message, lead source and consent fields.
Processing logic
Match or create the contact, set custom fields and tags, create an opportunity, assign an owner, send notifications and start the follow-up path.
Expected outputs
One clean contact, one opportunity in the correct stage, an alerted owner and an acknowledgment to the lead.
Failure points
Form not mapped to custom fields, missing phone number for SMS steps, re-entry disabled for returning contacts, overlapping workflows on the same trigger.
Error handling
If/Else branches for missing email or phone, a fallback internal alert, and a tag that marks contacts needing manual review.
Testing
Test contacts for new, returning and incomplete submissions; review the workflow execution logs and enrollment history for each case.

Implementation process

How a GoHighLevel project runs

  1. Discovery call

We review the current process, the applications involved and the outcome you need, and ask for examples of real (or anonymized) records.

  2. Written scope

You receive a short plan: trigger, steps, data fields, error handling, what is included and what is out of scope.

  3. Build

We configure fields, pipelines and workflows in your account (or a test sub-account), naming and organizing everything so it can be maintained.

  4. Test

Normal, edge and failure cases are tested — missing fields, duplicates, bad formats and authentication problems.

  5. Go live

The workflow is switched on with you, checked against live activity and monitored during the first days.

  6. Handover

You receive notes on how it works, where logs live, how to pause it and what to check if something changes.

Practical considerations

Things to know before you start

  • SMS and email deliverability depend on sender setup, phone number registration (such as A2P 10DLC in the US) and contact consent — we build with those requirements in mind but cannot guarantee carrier delivery.
  • Some features depend on your GoHighLevel plan, agency settings or enabled add-ons.
  • Heavy restructuring of a live account is best done in phases so active leads are not disrupted.
  • Automated messages should reflect your own compliance obligations; we recommend reviewing wording and opt-out handling with you.

Troubleshooting

When a GoHighLevel workflow does not run

When a workflow “does nothing,” we check the evidence in order rather than rebuilding:

  • Is it published? Draft workflows do not enroll contacts.
  • Does the trigger match? Filters on form, tag, pipeline or stage must match the actual event.
  • Can the contact re-enter? Returning contacts are skipped unless re-entry is allowed.
  • What does the history show? Enrollment history and execution logs reveal whether the contact entered and which step stopped.
  • Is another workflow interfering? Overlapping triggers can remove tags or move stages unexpectedly.

FAQ

GoHighLevel questions

Can you set up a new GoHighLevel account from scratch?

Yes. We can configure custom fields, pipelines, calendars, forms, workflows and integrations for a new account or sub-account, based on a documented sales process.

Can you clean up an account that already has many workflows?

Yes. We audit existing workflows, triggers, tags and fields, identify overlaps and conflicts, then consolidate in stages so live leads are not affected.

Do you build snapshots for agencies?

We can build a standardized configuration inside a sub-account that your agency can save as a snapshot and reuse, along with notes on what must be customized per client.

Can GoHighLevel connect to our other software?

Often, yes — through native integrations, inbound and outbound webhooks, the GoHighLevel API or an automation platform. We confirm what each application supports before recommending a method.

Do you provide ongoing GoHighLevel support?

Ongoing changes and monitoring can be arranged after the initial project. Terms are agreed separately so the scope is clear.
